Scope and Contents

This collection contains the papers of both parent organizations, IASL and AVEAI; the newly created organization (IEMA), and additional papers of the Iowa Community and Junior College Library Association. A large number of documents were given to the UNI Archives as part of the original donation. The collection grew each year as the organization periodically deposited additional materials.

The overall organization of the papers is chronological. There are, however, several instances where papers from more than one year appear in a folder. The researcher should review the box by box inventory closely in order to find all relevant materials.

Several groups of materials are not located within the main chronological arrangement. They include: Iowa Children's Choice Award, Iowa Teen Award, some photographs and videos, the newsletter Iowa Media Message, membership handbooks, conference programs, and annual membership meeting programs. The processor believed that these documents would be more useful to researchers if they remained together, instead of being refiled into the chronological arrangement.

The IEMA papers include materials related to the Iowa Children's Choice Award and the Iowa Teen Award. These papers are located in Boxes 27 through 31 and in Boxes 85 through 87, respectively. Although the majority of these records are located in the aforementioned boxes, some documents may also be found within the chronologically arranged documents. Researchers should review the materials in both sections of the collection.

Several folders throughout this collection are labeled "Secretary's Files" or "Secretary's Books." These files contain, but are not limited to, treasurer's reports, meeting minutes, general correspondence, membership lists, committee materials, budgets, and goals. Some information, such as memberships, can also be found in separate folders. The time period that each file covers varies. The new year may begin after the spring conference, or in June or July. This results in some overlap, and duplicate materials being located in two folders. For example, if researchers look for something dated June 2, 1984, the document could be found either in the 1983-84 folder or the 1984-85 folder. 2022 addition: The 2022 addition consists solely of materials from the Iowa Association of School Librarians, which is a subdivision of the Iowa Library Association. Included are yearly agendas, minutes, budget information (such as budget sheets, disbursement forms, income statements, and financial details), and leadership / membership information.

Conditions Governing Access

Most materials are open for research. The materials acquired in 2022 (see Scope and Content note) are CLOSED until January 2072 due to the donor’s wishes.

Manuscript collections and archival records may contain materials with sensitive or confidential information that is protected under federal or state right to privacy or similar laws, and the Iowa Open Records Law (see Iowa Code § 22.7). Researchers are advised that the disclosure of certain information pertaining to identifiable living individuals represented in this collection without the consent of those individuals may have legal ramifications (e.g., a cause of action under common law for invasion of privacy may arise if facts concerning an individual's private life are published that would be deemed highly offensive to a reasonable person) for which the University of Northern Iowa assumes no responsibility.

Biographical / Historical

The Iowa Educational Media Association was formed in June 1973 by the merger of two organizations, the Iowa Association of School Librarians and the Audio Visual Education Association of Iowa. As stated in the IEMA constitution, dated June 16, 1975, the purpose of the organization is "the identification of the role of media and its associated technology in education and the encouragement of the appropriate utilization of media as an integral part of the instructional process."
